Overview
There is no single best PDF setting for every purpose. A print-ready brochure, a small email attachment, a scanned certificate, and an archival record need different balances of quality, size, and accessibility.
Why this matters
Using the right PDF workflow helps prevent blurry printouts, oversized uploads, unreadable compression, and missing important details.
PDF for printing
For printing, prefer a high-quality source document and avoid aggressive compression. Text, images, charts, and colours should remain clear at normal print size.
Check paper size, margins, orientation, and print preview. A4 is commonly used for formal documents in India.
PDF for sharing and email
For email and messaging, a smaller PDF is useful as long as it stays readable. Recommended Compression is a sensible starting point for ordinary documents.
Keep the high-quality original separately and share the compressed copy only when a smaller size is needed.
PDF for archiving and official records
For records that may be needed later, keep a complete original-quality copy. Avoid repeatedly converting or compressing the only version of an important document.
Use clear file names, reliable backups, and a sensible folder system so documents remain easy to find.
