Overview
Email providers can limit attachment size, and large PDFs can be slow to upload or download. Compressing a copy of the document is usually the easiest way to prepare it for email.
Why this matters
A smaller PDF is easier to send, easier to receive on mobile, and less likely to fail because of an attachment-size limit.
Choose quality based on the document
Recommended Compression is usually suitable for ordinary reports, forms, applications, invoices, and assignments. It reduces unnecessary file size while trying to keep the document readable.
Use Less Compression when the file includes small print, QR codes, official stamps, signatures, diagrams, or detailed photos. A slightly larger PDF is better than a file that becomes difficult to read.
Review the compressed copy before emailing
Do not repeatedly compress the same PDF because repeated compression may reduce image quality more than expected. Always use the original document as your backup.
