Overview
Government forms, job portals, college admissions, and online applications often require a PDF below a specific size such as 1 MB, 500 KB, or 100 KB. The right approach depends on whether the document contains mostly text, scanned pages, photos, or signatures.
Why this matters
A smaller PDF is easier to upload, email, and share, but excessive compression can make important text, stamps, photographs, or signatures difficult to read.
Start with the least aggressive compression
Use Recommended Compression first. It is usually the best balance for assignments, forms, resumes, certificates, and standard scanned documents.
After downloading the compressed copy, check its size. If it is still above the required limit, try a stronger compression option only after keeping the original file safely.
Choose quality based on the document
Text-based PDFs can often be compressed more successfully than scanned photo documents. A PDF with colour photographs, stamps, signatures, or detailed images usually needs more space to remain clear.
If a portal requires 100 KB, avoid compressing a large multi-page scanned document blindly. First remove unnecessary blank pages, duplicates, or extra images where possible.
Always inspect the final PDF
A file meeting the size limit is not useful if the content is unreadable. Open the final PDF and check names, numbers, signatures, photographs, QR codes, and important text.
Keep the original PDF until the online form accepts your uploaded file successfully.
How to do it with PDFClan
- 1
Check the upload portal's exact file-size requirement.
- 2
Upload the original PDF to Compress PDF.
- 3
Start with Recommended Compression.
- 4
Download the result and check its file size.
- 5
Try stronger compression only if required, then inspect readability.
Useful tips
- Keep the original PDF before creating smaller copies.
- Remove unnecessary pages before compressing.
- Use clear scans instead of dark or shadow-filled camera photos.
- Do not submit a file until important text remains readable.
Important note
Always review downloaded documents before submitting, printing, signing, or sharing important files. Complex formatting, scanned pages, images, fonts, or document protection can affect processing results.
